Central Services has completed the requirements of the grant and we should be reimbursed $281,300.00 in the next few days. I am requesting a budget extension in order to receive those funds into an account to be accessed for funding the second half of the project which is roughly $176,096.00 Understanding that a public hearing must be held, I am expressing that time is of the essence. If we can do this as quickly as possible the contractor will not have to demobilize and remobilize for the second half of this project. This project was originally referenced in the document attached to this request. Along with the original quote for reference. The work completed in the quote thus far is the "base bid" the reimbursement is being utilized to fund the "alternate" as listed in the quote. Both are highlighted in the quote for clarity. The award of the grant was not really expected, and our budgets were approved before we heard that we had received any funds, we also did not know if we were to receive funds, how much they would be. The budget amount anticipated for the lighting project was low at $175,000. The project total for the rodeo arena alone is 297,541.00 meaning we had to come up with matching funds in the amount of $122,541.00. We were not concerned about matching funds as we were told it was not required. We had to cancel some projects in order to secure the money for the project as we did not want to lose the grant, the following is an accounting of what was moved / cancelled so that we could have the matching funds. We are currently executing the contract with Commerce and the contract will be presented as a consent item in the next couple of weeks. We will then order the project through KCDA and begin. Any necessary precautions will be taken to protect surfaces to provide access for drilling equipment, excavation equipment, trucks, crane, concrete truck, lift equipment and material handling equipment. Remove and dispose of all existing wood poles, overhead wiring, lighting equipment and associated hardware. The Musco Lighting System will be unloading upon arrival to the job site, the foundations will be augured, set and backfilled with concrete per the detailed foundation design. The Poles will be staged and assembled, the LED luminaires will be mounted, poles erected and luminaire aiming. Wiring for the Lighting System is from the lights/luminaire assemblies down to the remote electrical enclosure at the base of each pole where it will be terminated on the Musco supplied disconnect breaker. The Musco pole top assemblies, electrical enclosures and associated hardware will installed on the cell tower and will be wired and aimed. All packing material, containers and shipping debris will be removed from site. Hardscape/landscape will be removed (as needed) to trench all conduit from the existing service cabinet location to each pole location. In -ground boxes will be installed next to each new pole. Conduit will be installed from the in -ground boxes to each of the Musco poles. Trenches will be compacted and graded, final grading and seeding will be by others. Hardscape/landscape with be patched to match existing. Note that all trenches will be 36" wide and 24" deep, however, any trenches inside the rodeo arena will be 36" wide and 46" deep. Musco control and monitoring cabinet(s) will be installed next to the existing service cabinet. Conductors will be pulled through the new conduits from each pole to each in ground box and from each in ground box to the Musco control and monitoring cabinet and from the Musco control and monitoring cabinet to the electrical distribution cabinet, all splicing and terminations will be completed. The system will be energized, tested and commissioned. Site will be cleaned up of all debris, packing and construction materials. We will take all precautions necessary to minimize impacts to the site. Electrical permit is included, any additional required permits will be by others.
