As we have discussed recently, the existing mailroom equipment is not meeting the needs
of the mailroom or Departments within the County that rely on the mailroom to efficiently and
properly process their postal requirements.
We have in the past needed to contact the current vendor and ask for additional equipment at a
cost to satisfy these needs. We have also seen what is in our opinion as a substandard level of
customer service from the current vendor.
Upon searching the Naspo Valuepoint purchasing cooperative of which Grant County is a master
agreement member, we found the following contract and are requesting approval to go forward
with this new vendor.
Under Contract #ADSPO-16-169901 and State Participating Addendum #5516 (WA); a 5 year
lease will be signed with 1st Class Office Solutions utilizing (Neopost) equipment.
The monthly cost is higher than our current rate but it does meet all of our needs and allows us to
stop requesting vouchers to be sent by mail to receive postage. It will also properly seal ballots
which our current equipment fails to do causing us to seal ballots by hand. This has typically
been a multi -week process that has created an undue burden to the County in the past.
Currently our cost per year is near $7,300.00 with lease fees and maintenance combined, our new
cost will be $7689.24 this does not include any maintenance costs as we do not have a forecast
for those. The interfund budget currently has the funds to cover the increased cost without a
budget extension.
