Insurance Representative This memo is in response to your discussions regarding the County insurance representative. Scott Davis of Martin Morris Agency Inc. of Ephrata is our current representative. Shane Heston of Robert Trask Agency recently approached the BOCC asking for an opportunity to be the County's insurance representative for the WRCIP policy. Each of you has recently spoken with both Scott Davis and Shane Heston. Trask Agency Inc. (Trask) and Grant County Scope of Work: We will begin with conducting a complete baseline assessment of all locations to include a review of all buildings, locations, scheduled property, meeting with department heads and elected officials. We will audit the current property schedule, vehicle, and equipment schedule. 1. Applications and Renewals a. In person meetings via a prearranged, scheduled appointment. b. Assistance with all aspects of your policy renewal and application documents. 2. Property Valuations a. Assistance with property scheduling and property values, helping you to determine the level of insurance and protecting your property. 3. Review of Insurance Schedules a. We will begin by conducting a complete review to establish the accuracy and adequacy of the insurance schedules. A detailed review of your entities auto, equipment, and personal property schedules and then assist you in determining the level of insurance needed. 4. Claims a. Support through the entire claims process. Once the claim has been received by the insurance company, Trask will continue to monitor and ensure your claim is being handled properly. In addition, Trask will provide the County with a claims review and analysis on a periodic basis. 5. Representation a. Represent the entity at board meetings and trainings. These could include the annual all -member meeting, quarterly board meetings, and monthly conference calls. b. Assist in the placement of insurance coverage that may not be standard coverage. Examples: underground storage tanks, builders' risk, etc. 6. Monitoring a. Monitoring of the insurance program by reviewing the annual report, annual audit reports, and risk management audits and providing annual summaries and recommendations to County. 7. Market Placement a. Active assessment of current and applicable insurance markets. On a set schedule, or as requested, Trask will obtain quotes on the County's behalf and present the various options to Commissioners. Trask Insurance is a huge advocate for the WRCIP. Grant County Page 2 8. Contact Information a. Trask will provide a contact/resource list to Grant County. 9. Educational Services a. Trask will analyze and identify the County's educational service needs and will coordinate and recommend proactive risk management solutions. 10. Loss Control a. Trask will assist with identifying potential risks), work collectively with the County to develop risk management strategies, and assist County with coordination of risk management personnel. 11. Pre -Litigation Solutions a. Trask will provide on-going monitoring and feedback to promote early detection of potential claims. Once a potential claim is identified, Trask will assist with the coordination between the County and the Pre -Litigation Program Team. 12. Account Service Plan a. As your insurance/risk representative, Trask will work with the County and the Washington Rural Counties Insurance Program/Clear Risk Solutions to a deliver insurance and risk management plan designed to mitigate risk and optimize insurance goals. b. We will deliver a formal report with recommendations to the County Commissioners at the end of the first year. This report will be a detailed risk management analysis with recommendations for consideration. look forward to further discussing how I could serve your organization.
