HomeMy WebLinkAbout*Other - Central ServicesGrant, County Central Services POBox 37 Ephrata WA 98823 (509) 754-2011 Ext -3276 Board of County Commissioners October 3, 2019 Re: Amazon Purchasing Policy As the Board is aware, Central Services utilizes an enterprise account with Amazon that allows departments within the County to utilize Amazon Prime without paying for the membership. The account works by utilizing a "Pay by Invoice" system that negates the need to use county credit cards to purchase items on Amazon. The program thus far has been quite successful and all but a few departments are using this account for purchases. Mainly they have not been made aware as yet or have not decided who would be the department's administrator for their account. I am asking the board to add the following statement to the current purchasing policies written by Central Services and adopted by the Board regarding the use of cooperative purchasing programs. "Any and all purchases from Amazon utilizing County resources for the purchase of items for the use by County departments or employees shall be made through the Central Services Amazon Account." By doing this, Amazon will create a policy in which anytime the domain "grantcountywa.gov" is used to sign on and purchase any item. They will be directed to contact Central Services and will not be allowed to purchase any items. Please note that if they have been given permission by their department administrator they would not receive this message. This will only happen to those who have not been given permission by their departments to make purchases. Central Services will in turn direct them to their department's administrator to request the item. This will mitigate the risk of any credit card use nearly to zero.
