This year a capital project located at the fairgrounds was approved utilizing different funding
sources.
The project cost was approximately $495,000. The Board decided to only partially fund the
project utilizing BEET 2 funds, knowing the grant had been awarded and that the County would
be reimbursed after the total amount of funds had been allocated. (in essence, overspending the
account knowing it would be made correct with the reimbursement).
This project has been completed, and we did receive the grant funds totaling $250,000; however,
we neglected to perform a budget extension for the revenue (001.000.00.9112.334021000) and
expense (001.112.00.0000.594736214) to show how the funds for this project were appropriately
allocated.
Accounting has pointed out that BEET funds should not receive a grant, and in the future, we
should consider an alternative way to ensure the funds are accounted for more efficiently. As this
money has been received, we will need to perform the budget extension regardless to account for
the funds properly
